  • 1.  Fall Retreat Location and Dates

    Hi everyone - I hope you all are enjoying summer a bit.   I have some preliminary information for you regarding the fall retreat. 

    New Orleans, LA


    September 29 - October 1, 2022

    I am going to try and plan a mostly full day of activities for Thursday.  So if you can, plan on arriving later Wednesday, September 28th, or earlier on September 29th that would be ideal.  We are flipping the schedule a bit from last year and spending our team time together on Thursday instead of Saturday so that you are free to travel home if needed.   

    Thursday, September 29, 2022:   Activities TBA - ending with Dinner (guests included)
    Friday, September 30, 2022:        Full Day Retreat Meeting followed by evening Board-only Dinner
    Saturday, October 1, 2022:          Half Day Retreat ending with closing lunch 


    I am working out final arrangements for the location - but it will either be the Royal Sonesta or the Kimpton Fontenot.

    For agenda items, will one of them involve having a "membership drive"? Even now, I got like 3 new people who say they will join if I tell them they should join.

    Some dumb newbie questions on retreat logistics, for anybody, as more info becomes known. Sorry for all the questions.

    1. Does "retreat" actually refer to "retreat from a battle"? Never mind.
    2. Do we make our own travel arrangements or is that centrally coordinated?
    3. Curious to know if you guys are going to leave town on Sat afternoon/evening or Sunday morning.
    4. What is the general reimbursement process?

    • You are welcome to make what arrangements you need to and I can reimburse you asap once we get form.  Hotel and incidentals and most F&B covered when you are there.  
    • I am trying to either come in a few days early or stay later.  It is up to you with what works.  I know the flights back to LAX are super early in morning.

      I haven't made my travel arrangements yet, but I'll let you know whether I'll leave on Saturday or Sunday as soon as I know. I'll try to leave on Saturday but I'm subject to the whims of the airline industry.

       

      When you look at the reimbursement spreadsheet, you'll notice that the procedure is for the Executive Director to approve and then send to the Treasurer to provide the reimbursement. I'm not sure that Michelle has been added to the bank accounts yet so we're making an exception to the rules for now; Anne may both approve and pay. Anne, to cover yourself, you may want another board member to review/approve the reports.

       

      It's probably worth saying that the organization will cover the cost of a coach ticket, but not first or business class. In the past, I've booked business class and have personally paid the difference between business and coach. We don't want to be cheap, but we want to be fair. Try to be conservative with meals and drinks. Treat the 90 Minds pocketbook like you do your own.

      I will be driving, and have tentatively planned to arrive on Tuesday and leave on Sunday.  Am flexible!  So, let me know what others are planning and I can adjust.
