  • 1.  Emailing Excel files automatically

    Customer has created Sage100 Queries and Dashboards in several Excel files.  Now they want those refreshed and emailed out automatically every day? Is there anything out there that will that. I usually use Logicity to email out Crystal Reports, but it doesn't do Excel (as far as i can tell). I'm looking at the Visual Cut website and it looks like it does do it. Anyone use Visual Cut to refresh Sage100 Queries and email out files? Any other suggestion?

    Thanks Beth. They are not using SI and everything was done directly in Excel, outside of SI. Not sure what it would take to start using SI at this point, now that everything is done.

    I use VisualCut to schedule Crystal reports to auto-run and email.  I believe @Kevin Moyes and @Jim Woodhead use it also.

    Send an email to ido@milletsoftware.com he wrote the code and supports VisualCut.  He can answer your questions about auto-executing and emailing Excel.

    @Jeff Schwenk  Sage Alerts has a lot of great features but expensive if you only need to schedule reports to run.  VisualCut with 2 years of unlimited support is $360.​

    Visual Cut is primarily a Crystal Reports tool with export capability to Excel (and other formats).  The latest version added the ability to have an Excel file as a data source, which is new, and I don't know much about how it works (specifically if it could refresh the data). 
    Beware, years ago we inherited an Excel macro based process and it was a nightmare to support.  It 100% required a user session for the Excel piece (processing a CSV) to work, and every server reboot required someone to start a disconnected session (which they always forgot). 
    Reaching out to Ido should get you a quick answer... (and I believe he offered 90-Minds consultants a test license so you could probably get that and play around a bit with it).  I expect the new features would just be reading the Excel file, not spinning up full Excel functionality... but I really don't know.

    Whether Visual Cut could refresh the queries and dashboards might depend if they can be done with a simple "Refresh All". If the dashboards consist of Pivot Charts or Tables and are sourced from a worksheet that is filled by a query, then these may have to be done in a specific order. A macro to refresh the queries and pivots would be straight forward to create and there's lots of VBA code samples for sending a workbook via Outlook or in a more automated fashion by using the CDO object. I use CDO to send emails via Used Defined Scripts out of Shipping Data Entry to notify salesreps about backorders. It would be similar to do this in Excel VBA also.  I hope that these distributed Excel documents are not macros otherwise the VBA code would need to be stripped out and then sent as an ".XLSX" to avoid virus software issues.

    Ido indicates Visual Cut has a function for refreshing spreadsheet data.
    1. Place this argument in the 'Arguments' GUI area: "XLS_Refresh:Path&Name_of_Workbook"

    2. Set the email to attach that workbook.
    3. Schedule.
