  • 1.  Emailing Documents using Outlook Contacts

    Good Evening - I have a client coming off of QuickBooks POS and there is one piece of functionality that they are freaking out over losing. On the Purchase Order screen, QB has a button to launch an email editor that is integrated with Outlook so the user can select several recipients from their Outlook contacts, edit the body of the email and then send it. We've demonstrated Paperless Office but the inability to dynamically select different contacts on the fly and change the body of the email has the client panicking. Does anyone have or is aware of any solution to this problem? Thanks in advance!

    Is the purchase order  information an attachment or in the body of the email?

    Hi @Myron Stevenson! They want to send the PDF attachment that would still be the Purchase Order Form​. It doesn't sound like the body of the email would contain any real PO information, it would be more generic like "Hi Bob, this is the PO that I talked to Gary about. Send me all the stuff!". We've showed them the standard fields like "confirm to" and "comment" but they are insisting on editing the email before it goes.

    Use Paperless to email themselves, then edit / forward the PDF to whoever they want.

    Preview - export to PDF (Application) - File: Send File (opens new blank email with attachment).

    Preview then export to Word (Application) if they want to edit the body of the PO... then copy / paste into a new email.

    Hi @Kevin Moyes! Thanks for these solutions! I like the simple elegance of having them email themselves and then doing whatever they want with it. I could probably even position that as additional email tracking functionality since they would be able to see it in their actual sent box. We experimented with the Export to PDF > Email but it creates a bonkers file name like SO_Invoice_18749835789359835798237 from the work file. Do you know of any way to modify how it names the file? Thanks again for the help, you are always so quick to offer solutions and I really appreciate it!​

    Kate,
    No ideas on the file name, unless they export to PDF (disk) where they can set it specifically.

    For the "email themselves" idea, use the Address In Data Entry option to make it easier (generic Paperless setup).  A button script for the user to click / lookup their email address, and set that to the transaction's email address field might be nice.

    @Kate Krueger in 2019 PU2 (maybe PU1?) This option was added. Not sure if that happens at the time of export, but worth a  shot testing! 

    PDF File Name Options A PDF File Name field has been added in Form Maintenance. In this field, if you select Document No., the document number is used as the file name for the PDF that is attached to the email.
