Direct Deposit Stub Mailing

  • 1.  Direct Deposit Stub Mailing

    Version 2019 - Customer want to know if they can prepare payroll in advance of going on vacation then have the direct deposit stubs emailed to the employees on the day of the payroll.  Do the DD stubs get emailed when they are printed or when the payroll register is updated?  If the direct deposit stubs get emailed when the payroll register is updated (similar to AP ACH payments), the update could be automated with the task scheduler.  Thoughts and advice please.

    Payroll can be processed ahead on time without emailing during the update process. The stubs then have to be selected and emailed from Employee Viewer screen at the desired time.

    Michelle - Does the emailing of the direct deposit stubs occur during the payroll journal update?  If so, it seems payroll could be prepared, payroll checks could be printed in advance, and then we could set up an unattended automatic update using the Library master task scheduler to update the payroll journal and email the direct deposit stubs.

    The emailing of stubs can occur during the update process or not - there's an option in Paperless Office. 

    That sounds like it would work, to prepare everything, then kick it off later.

    Put a note in the email cover letter that PR remittance advices are being mailed early and the funds will be avaiiable on on the effective date of the deposit.  Have a great holiday weekend!  Betty Lou, PR manager.

    @Doug Higgs - the problem with that is that the ACH file still has to go to the bank. So - if you don't update the Payroll, there isn't a Direct Deposit file to compile.  Which means, even if you set up a task schedular job, to update the Direct Deposit stubs, you still need to create the Direct Deposit  NACHA file for the bank. Plus transfer it to the bank.  Unfortunately, I don't think there is an automated way to do that - too many questions to answer when you create the NACHA file in the first place (which you can't do until you update the check register), and too much security surrounding the transfer of that file to the bank...​

    @Sue Bennett. If you use the Sage Direct Deposit service, I believe in version 2019 you can automate the ACH transfer to the bank.

    @Sue Bennett  Even using version 2019 someone still has to click the "synchronize" button to transmit the direct deposit payroll to the bank.  Although not completely automated, a user cannot open the the ACH file and try and decipher confidential information. The user simply clicks the batch to transmit and cclicks syncronize.

    Could be a difference in banks, too.  Our bank won't accept an ACH file unless we log in and validate/verify it...so maybe we just have banks with more restrictions!
