  • 1.  Deleting 2,125 GL accounts

    How does one go about deleting a big load of GL accounts that were created accidentally and have no transaction history?  There doesn't appear to be a VI table for DELETING.  It appears that I have to import them into the GL_Change table to consolidate into one or two accounts and then manually delete the two accounts.

    Can anyone confirm?  I wish they would make it as easy to fix screwups as it is to screw up.......

    If Generate Accounts was used, can you use Delete Accounts with the same criteria?  If there are accounts with activity, they won't be removed.

    Gl_ChangeAccounts is the VI table.

    @Chris St. Amand   The table for deleting is different than the table for merging/renumbering.  I ended up going with @Michelle Taylor and
    @Nancy Hanson suggestion.  I deleted them all then changed the 10 remaining accounts status from a D back to Active.

    Doing this with 17 companies.  I ended up doing the following:
    1. check to see if they have any marked Inactive (so you can mark them inactive if they don't delete).
    2. I ran a SI Report that shows if there have been any transactions since 2015 (when companies were started).  This was really just for reference.
    3. I used the Delete Utility and put in the first main account and the last, let it delete what it could.  
    4. Exported what was left (as all were now set to Delete) and reimported with Status of A or I.
    5. Had some companies with 90,000 accounts, removing 65,000.

    Caveat - Tried this with another customer and because they had some PeriodBudgetHistory records (with $0 in them), it would not delete the GL Accounts,  Reinitialized the PeriodBudgetHistory and I could use the Delete Utility.  Did this in test on my side, but now need to find a better way as customer said they do use Budgets for their other accounts.  My Customer Above, I didn't have this issue with (so far).

    Other option is the Merge and in the case of the 17 company customer, a merge of 3000 accounts with no transactions was taking 8 hours.
