  • 1.  Customer entered a credit memo with negative quant

    Customer entered a credit memo with negative quantities on the lines which caused the invoice to be out of balance as the total was actually a negative. All items were relieved from inventory and the sales/COGS posted as if it were a regular invoice. Customer's account is correct but everything else is not. My question is, what's the best way to correct this??

    First, after 30 years on the market, Sage should think to introduce some type of notification that a negative might be incorrect in this situation. Maybe the Sage 100cloud Titanium Edition... I'd be tempted to make a backup company then try the opposite of whatever they did wrong to see if that gets them closer to the fix. I always do this in a backup company so I don't make things worse.

    Therese, when you say the Customer's account is correct but everything else is not, are you saying that the invoices posted as ""negative"" invoice? I would think if it posted the same as a regular invoice, the customer's account would have a higher AR balance than what it's supposed to. I've seen some strange things happen with Credit Memos related to Avalara's Avatax, but I'm not sure this is the same issue that I've worked with before.

    Couldn't agree more @WayneSchulz!! In a test company now and tried to do the opposite but no such luck. And @ChrisLove the credit memo posted as a negative on the customer's account so their account is correct. The out of balance comes when AR is credited AND the sales are also credits.

    I would run the AR Aged and Trial Balance reports to verify they are both correct. Then manually correct the module postings. May have to edit the customer invoice history files to get rid of the out of balance. GL with a journal entry. Inventory with an Inventory adjustment.

    The aging and trial balance are both correct as - except for the detail - the credit memo updated correctly. That's just what I did @LilaKorb , adjusted the inventory back in (double the quantities), adjusted the sales/cost of sales and inventory adjustment postings then a one-sided entry to debit the sales amount (also double).

    So now, another customer entered a credit memo with negative quantities and it treated it as an invoice, not a credit. At least it updated in balance! Sage really should do something about this!!! I mean, you can't do negative check runs!!
