  • 1.  Converting Historical PR companies in PR 2.0?

    What is the general consensus for converting historical PR companies from legacy PR?  Is it an absolute requirement?  If so, how many years?  Can the companies be migrated but not converted until needed without unintended consequences?  Downside if historical companies are left behind in old version?

    I migrate and convert all that the customer wants/needs.  Have had issues with only 1 historical company that was different than the production company.  Can't see any harm in not converting historic; though I wouldn't perform another upgrade without it.  Downside is that they won't be able to access the old data, but how often do they really need the access the old data?!?  Hope that helps.

    FLA (Fair Labor Act) requires 3 years. ERISA is 6 years.  If hardcopy or archived (scanned) records are available, electronic records in Sage 100 not legally required.

    In the past, old payroll companies migrated and not converted. Prior to moving to PR 2.0, any company not converted from prior migrations have not been migrated to 2.0. It is amazing what really isn't needed.

    It really depends on how reliable the paper or other alternative records are.

    After much digging in the Sage KB I found this:

    Once the test upgrade is completed and the final data migration is performed (again ensuring that all Sage 2018 Product Updates and Payroll Updates are installed in the Live installation), it is recommended that all companies are converted; both live companies and payroll backup companies.

     If you desire to access the data in the payroll backup, they will need to be converted and all the steps performed in the live companies will need to be performed in the payroll backup companies.

     At your discretion, you can choose to convert payroll backup companies on an as needed basis, but it is important to understand that it is not always possible to remigrate the data should the resolution call for remigrationID:93930Last Modified Date:6-10-2019

    I've been working with users who have payroll backups back to 1999.  I let it up to them to decide how far back they want to be able to go into the live system, recommending we have at least 7 years, including current. If they're concerned about losing older data, I rename the old folder to "DO NOT DELETE PAYROLL HISTORY" and will let it out there when doing future upgrades.  I always convert everything after migrating.

    I always migrate all companies to create the company code records in the new system. I convert the main company and convert the backups the client has decided to keep doing a few at a time until finished.

    Ask the client how much they want to pay?  I try to persuade them to go with only the current copy.  v2017 will live for a few more years.  Most of the older backups have not been accessed for years.

    The main issue for me has been that with payroll 2.0 conversions you can't "convert all". Sage wants you to convert payroll companies individually so that they can play 20 questions about mappings of tax codes, earnings, etc.

    I'd love to find a way to re-convert without having to go through and answer those same questions that were answered during the test migration/conversion.

    Here is a link that provides information on how you can avoid all the re-mapping of certain tax codes during the go-live conversion.  Usually I just copy the MAS_XXX\PRXXX from the prior to the new Sage and run data conversion. Unfortunately with payroll you cannot convert all - you must go one by one -- and you will likely have several tax codes where you have to manually map tax status from the old payroll to the new.

    This article talks about the files to save so you can copy/paste them during go-live.
