Client has Company A and Company B. They want to make Company A into 2 divisions. Import the customers and vendors of Company B to the 2nd division of Company A. Import IM Info and GL as well. Has anyone done this before? Any links that are helpful? Any caveats I should watch out for? Thanks.

@BethBowers has done this. I have researched this (and talked the end user out of it) and if they expect all of the history, open invoices and orders, master files, and valuation reports, you are in for quite a project. Eliminate any duplicates before merging.

Extract of the email sent to the version 3.74 client: Below are the standard MAS 90 v 3.74 data files that have data in them and are candidates for merging: General ledger GL1 Accounts GL5 Transaction detail GL8 Budget & history Accounts payable AP1 vendor master AP4 open invoice APB check history API invoice transaction history APP vendor memos APV sales tax detail APX analysis data AP_07 open invoice tax summary AP_08 invoice history tax summary AP_12 invoice history header AP_13 invoice history detail AP_15 check history header AP_16 check history detail AP_17 vendor contact code APE terms code (22 records) Accounts receivable AR1 customer master AR3 monthly cash receipts AR4 open invoices AR6 transaction payment history ARD salesperson master ARE salesperson commission detail ARH sales analysis by salesperson ARN invoice history header ARO invoice history detail ARP customer memo ARV sales tax detail ARX AR analysis AR_08 invoice history extended item description AR_12 customer contact file AR_14 deposit transaction history AR_15 customer ship to tax exemptions AR_16 open invoice tax summary AR_17 invoice history tax summary AR_90 UDF (user defined fields) customer AR_91 UDF invoice history header AR_95 UDF invoice history detail Inventory IM1 item master IM2 item warehouse detail IM5 transaction detail IM9 warehouse item sales history IMA product line IMB price codes IMM component usage history IMP item memo ) IMW beginning balances IM_03 extended item description IM_04 alias item number IM_12 item vendor IM_13 customer item sales history IM_14 item receipt history IM_15 vendor receipt history IM_90 UDF inventory masterfile Purchase order PO1 entry header PO2 entry detail PO7 misc charge codes POB vendor purchase addresses ) POM receipt history lines POO purchase history POP receipt history header POR price levels POZ extended line descriptions PO_08 PO tax detail PO_09 PO tax summary PO_14 receipt history tax summary PO_90 UDF PO header PO_95 UDF PO lines Sales order SO1 data entry header SO2 data entry detail SO7 misc code SO8 shipping rates SOB customer ship to addresses SOG monthly sales recap by prod/whse SOH customer sales history SOI sales recap for division & warehouse SON sales order recap SOQ customer last purchase history SO_01 extended line description SO_03 sales order history header SO_04 sales order history line detail SO_05 sales order history extended item description SO_07 SO history / invoice history link SO_08 SO history line / Ar invoice history line link SO_09 cancellation reason code SO_11 So history tax detail SO_12 SO history tax summary SO_15 SO tax detail SO_16 SO tax summary SO_90 UDF SO header SO_95 UDF SO line detail As you can see, there are many files that are candidates for merging. Prior to merging, the data will need to be cleaned to insure there are no records that would be duplicated in the company. These records include customers, vendors, and inventory items, and any other records that may be merged.

Why don't they just keep company B for historical purposes?

Dupes also include SO numbers, invoice numbers, PO numbers, Receipt numbers. Easiest thing to eliminate dupes, if possible, in those cases is to add a letter as the first character of the order/invoice/po/receipt - but remember to do it EVERYWHERE that field is accessed.

I believe Brian Kelly at Accounting Systems Inc has a merging tool they developed.

They will keep Co B for lookup. They only want the open invoices imported . Just the date invoice # and amount.

Only need to worry about dupes, then. Import into Data Entry and go for it. Assume only QOH for items?

I've done this exact thing. Had to merge customers, vendors, inventory, open AR invoices, open AP invoices, Item #'s and on-hand quantities, GL balances for the new divisional GL accounts, etc. This was for 4.4 but I may still have some of the exports/imports I needed to create.

I have nothing to gain by plugging this. Brian is a good guy. I have worked with him before. Last time I had this come up, I suggested Brian may also want to process as a service instead of selling of the software. Not sure you will be able to work out something favorable. This type of project is typically high need, high risk, low perceived value and low return. Maybe this might work out for you. http://www.asifocus.com/products/additions-for-sage-100-erp-mas90-mas200/company-consolidation/

I used Brian's software last December. Worked well. Had a couple issues (e.g. extended inventory descriptions). I would recommend the software as it eliminates a lot of variables that you have to worry about.
