  • 1.  Change GL Main Account Group

    It has been a while since I have had to do this...do we still to do the complete renumber....and stuff... or is there an easy way out for changing the Account Group for a Main Account that already has transactions???

    I know someone will have the answer you're looking for, but I will add that I've seen cases where a main account is simply assigned to another account group in Main Account Maintenance and for this particular org, it worked out fine.

    Hi, I just went into my 2017, created the new account group 725 in ABC.  Because there were no transactions against account 730-04-00, I created an AP Invoice and updated it to 12/31/18.  I then went to Main Account Maintenance and brought up account 730 and was able to change the Account Group from 700 to 725 and hit Accept.  I checked Account Maintenance and my 730-04-00 also changed to Group 725.  
    I would think you could export your main accounts, make the change and import them back in.  What I wouldn't be so sure about is since you're not hitting Accept in Main Account Maintenance, will it Apply to the Accounts?  I bet you could also export the Accounts and import back in with the new Account Group if you had to.
    Is this process what you're trying to do?  Curious as to why you are thinking you have to do it manually?

    The customer has most of the accounts in 0000. It wont let you change them to a different section...form assets to expenses... Anyway, DianaL gave me an excellent idea... Will create new company...copy GL...change grouping and copy file...hopefully that will work.....

    I tried manually to copy to another company...change and copy gl account and main files back... QUITE A MESS.....the account keys changed and all the accounts were incorrect... had to restore back...
    Still not sure what I can do... I was able to change the 0000 to the other balance sheet groupings....but wont let me do the same process for the Income statement accounts.....

    How about … On your local system, create a new company in the same Sage version/update as the client, using the same company code.  Activate GL and CI for that company, then replace with data from the client system.  On your local system, reinitialize GL_PeriodPostingHistory and GL_DetailPosting.  Then you should be able to change the account groups since there is no history.  Once done, copy the GL_Account and GL_MainAccount files back to the client system.  You probably won't need to, but you my want to run the GL Utility to Recalculate Account Balances on the client system.  As long as you haven't moved accounts from Balance Sheet to Income Statement or vice versa, this step should not be needed.
