Can I Open A Closed Payroll Quarter

  • 1.  Can I Open A Closed Payroll Quarter

v2.2 Payroll.  The end user inadvertently posted a payroll in quarter 3 after closing quarter 2.  Can they reverse the payroll, re-open quarter 2, and enter the payroll again in the correct quarter?

I don't know that this is the official line,  but I did this with a client and it seemed to work.   Watched it l like a hawk though.  And as I recall it was only one employee/check so it was pretty easy to watch for problems.

If you have anyone going across taxable wage limits and you already have payroll entered in the future quarter, you could have issues.

    Definitely not in legacy payroll.

Thanks @Thomas Rogers  I called Sage tech support this morning.  They said there is no need to open the prior quarter.  If the check date of the payroll run is in the prior quarter there will be a warning displayed, but nothing prevents posting to a prior closed quarter.  That is fascinating!  What's the purpose of closing a quarter?

Would be concerned if 941's were already processed.

I agree on the 941.  If already filed it would require an amended 941.

You can post to a prior closed quarter????  I really hope tech support misunderstood the question.  Otherwise that's really scary.

I do know that there is a security right that theoretically lets you REVERSE a check from a prior quarter, but I generally don't recommend it except in extreme situations and then only with an abundance of caution.   I tend to turn it off for my clients.

Not really any different than how Sage 100 handles AP or AR is it?  The only module that now truly closes is GL.

@alan niergarth - except you need Year End in Payroll because of YTD Direct Deposit.

@Beth Bowers good point.  also you need to do year end in the new version to reset the YTD actuals against contribution limits on deductions and such.   Which is a bummer because if you do a check in the new year before closing the old, those values do not get reset!  So the check stubs show the wrong info.  In fact, this seems like a bug.  The product was promoted on the premise you did not have to close the quarter before doing checks in the new quarter.  It should save the annual DD (and other) values in a table to allow overlap at end of year.

You also need to close payroll before the first payroll of the new year  to make sure that vacation and sick accruals carryover properly.

The take away - different from legacy payroll.  Close the year after your last Payroll anytime before your first payroll of the new year, but you can still create all the needed reports from the live company.  No need to make the copy-company for generating government reports. And during the year you do not have to be as rigid about closing the period since you can process pay in the next quarter without messing up values in the current quarter. That is still a win in my book.
