  • 1.  Bill Option Descriptions

    A client brought to my attention that if they change a bill option description in Bill of Materials Maintenance, then reprint a previously posted invoice, the bill option description will print as the NEW value rather than the value at invoice posting time. I was able to replicate this in my system. I'm planning to overcome this by creating 9 UDF fields in SO_InvoiceDetail that read the bill option descriptions at the time the invoice is created, then pass those UDF fields to the printed invoice forms and to AR Invoice History. My question is: has anyone encountered this before? It sounds like a bug to me...but I haven't been able to find anything on it, which is surprising. I would like to get any feedback anyone has before reporting to Sage.

    I haven't run into it myself but you're correct that the Option descriptions are generated at the time of invoice printing / reprinting and pull from the Options tables and do not get stored in SO_InvoiceDetail at the time of original data entry.     Actually that wouldn't be so bad.  The real issue is that when you reprint an invoice (no matter how old the invoice), the new bill optoin descriptions print.  So if you sell a widget today and bill option 1's description is white; then two years later you change bill option 1's description to red; if you reprint that two-year-old invoice, it will print red.

    I wouldn't have believed it had I not seen it with my own eyes, but the PDFs, when accessed from Customer Inquiry, are appearing with the new bill option descriptions as well.  I had to back away from the computer (slowly) at that point.

    Are they reprinting the invoices?  There's a setup option in Paperless / Form Maintenance to Keep Only the Last Copy.  Make sure that's not turned on if they're reprinting invoices.
