  • 1.  Best Practice for Changing Product Lines

    Is there a best practice for changing an item's product line?  What if there are open PO's and SO's for the item?

    My understanding is that open SO's are updated but open PO's are not.  Is there a utility that will reassign the new PL to the item?

    I don't have a best-practice for this, but here is what I have run into in the past.  Maybe others can chime in and we can start building a comprehensive list.

     

    1. Sales orders are updated. Well technically the product line is not stored in the Sales Order Detail file therefore it does not need to be updated.
    2. Purchase Order Detail does store the Product line, so it would need to be updated.
      1. You could export PO Detail lines including the Linekey to excel, change the Product line and import that back in. (I have not tested that, but I have done other imports into PO Detail and I know you will need the Linekey.
    3. Production Management Work Ticket Detail also has the Product line field and it is not updated so I would assume another export/import would be necessary.

    I've helped clients a few times, and we had to "reset" the GL Account for Sales/Cost of Goods GL Accounts on all sales order lines, and if applicable the GL Account for Inventory (and the Product Line stored on the PO); for all open Purchase Orders.

    Good point @Madeline Stefanou via 90 Minds, Inc. I completely forgot about the GL Accounts. I'm wondering if it would be easier to have them delete the lines and just reenter them.

    The PL change appears correct on Inventory Valuation Report, but you are correct about the GL accounts not updating to the new PL. This creates reconcilation issues betwen the IMTB Report and the GL, right ???

     I can see how users would unknowingly make this kind or change not realizing the impact on the GL.

    And are you changing the account NUMBER in SO/PO or the account KEY??

    Depends on the volume of records to change.  I've manually changed in Order Entry with the right GL Account; I've manually changed in DFDM with the correct Account Key, and I have even "exported/imported" fixing including the Line Key and Line Sequence on export an associating the corrected GL Account Keys.

    If the inventory control account changes, you have to do a manual GL JE to move the inventory value into the new account (so the IM TB balances with the GL). 

    GL accounts in open transactions (SO, PO...) mainly pertain to revenue / costs, which isn't as big of a deal, but good to update as a best practice.

    Make sure there are no unposted transactions (invoices / receipts / adjustments...) when you make the change, because those will also have the same kind of GL account differences.
