  • 1.  Avalara AvaTax question on sending limit/cap

    Helping a customer on v2019 / 6.10 Premium that does inter-company transactions.
    My understanding is with AvaTax when you key in or import into S/O Entry of A/R Invoice Data Entry and the API call to the AvaTax web service is made to calc sales tax for the shipping states you have setup, you are not charged by Avalara at that point, not with Sage 100. But when you post/update the A/R Sales Journal or S/O Sales Journal it makes API call again and you are charged at that time or it's counted against your tier or something like that. I assume later you get a statement or invoice from Avalara showing the charges.
    Issue: When this customer imports 8000+ invoices into SPK company where AvaTax is NOT setup and posts/updates their A/R Sales Journal, it takes 4 hours but completes without issue. In 001 company where AvaTax is setup, even with 2,500 invoices being posted in A/R Sales Journal Update, 100% of the time it hangs / freezes. But if there are only 2,000 invoices it will always work. I'm having them install the recent Jan 24, 2022 AvaTax connector update to see if the issue is related to that.
    Question: I'm wondering if the customer's Avalara account has a daily sending limit for the number of documents (invoices) that can be processed based on the type of license or tier level they paid for. Anyone know? @Therese Logeais

    Because Sage 100 makes so many API calls, charges are not calculated solely on number of posted invoices. I believe they divide total API calls by 10 (or something similar) to figure out the customer charges. And no, they do not get a very detailed statement.

    Do you know what tier they are at with Avalara @Alnoor Cassim? It could be they ARE going over their limit with the imports.​​

    Therese - No I don't know what tier they are at with Avalara (and I hate talking to Avalara too as they've never been partner friendly to me). I also didn't know about the formula not being solely based on number of posted invoices! So yes that's very possible they are encroaching the limit with the imports before the posting.

    Doug - Yes dividing up the batches ALWAYS works.  That might be the required long term solution. They are a seasonal business that's busy in October around Halloween where's there 10,000 invoices a day and that's what they ended up doing then. But I'd like to give them a choice to change their Avalara tier level assuming that is the cause of the issue. I was called in to diagnose a technical issue and now I'm in Avalara Hades.

    Bob - I don't know the average lines/invoice as we never got that far. I didn't know it recalculates after each line is posted in the portal!!

    In the portal, you can watch the invoices being populated line by line as it updates.

    Maybe try using two batches - one for 500 invoices and another for 2000 invoices.

    On average, how many lines per invoice?
    AvaTax re-calculates after each line is posted in the portal.

    I ran into a similar issue and Avalara
    1. Is not proactive about notifying you if your volume significantly increases - my customer only heard about increased volume at renewal time
    2. Is not transparent about how their charges are computed
    3. The computation is almost impossible to verify 
    Here's a prior group discussion on the issue of Avalara charges increasing year-over-year

    I have not had any questions about speed issues or volume though my customer might not be doing 8k like yours. Most Avalara complaints are about (a) professional services (b) pricing (c) dealing with Avalara and constantly being passed from person to person
