Asterisks in the Direct Deposit File

  • 1.  Asterisks in the Direct Deposit File

Just went live on the new payroll 2.xx.  Why are there asterisks in the first column of the direct deposit file?  Can this be changed?

Found the answer on the KB.  Well this certainly is a hassle.  Reverse the payroll and re-enter it is the solution.

I don't have good news for you.  If the role for the person/persons processing the payroll under security events/payroll doesn't have the option for view, print, edit PII data checked then all PII data in the direct deposit file will only have ***.  The payroll will have to be redone either by reversing the checks or restoring from back up prior to check processing being done.

What about modifying the DD file?

We ran in to this with a client and they were able to log in to the bank web site, copy the submission from the previous payroll to a new "batch", modify the amounts and submit it for processing.  Saved a lot of hassle in Sage.

Thanks @Bernie Lehman  They ended up modifying the direct deposit file by copying and pasting from the DD file from last weeks payroll.  I gave them the option of reversing the payroll and re-entering it or "being vary careful" and modifying the file.  They elected to modify the file.  I emphasized if they were going to edit the file then "to treat it like you are planning the moon landing – very precise!".

All the updates look OK.  Checks printed fine.  The only issue looks to be the format of the direct deposit file.  If we copied and pasted the info from a copy from last weeks payroll run by a person with the "good security" I would think they should be OK.  Thoughts?

It should work as long as everything is correct in making sure the correct bank accounts are associated with the correct employees. The exact employees were paid in both check runs and no employee has had any bank changes.  The data will need to be double checked since there's no room for error.  It's more risk than I'd want to take on.

Shouldn't Sage Payroll present a warning "You do not have appropriate rights to generate a full and complete direct deposit file. Certain information will be masked and unsuitable for submission. Please consult your system administrator BEFORE updating payroll"

Post that idea on Sage City, and they might pick up on it... Elliot sometimes takes bug fix suggestions from there, jumping the development queue.

@Wayne Schulz  You would think so.   Accidentally creating the DD file with asterisks is a huge inconvenience, particularly when there are a lot of DD employees.  Also, payroll usually needs to go to the bank today so users are on a tight schedule.  Any missteps create a lot of anxiety.

Ideally, a user with permissions to the PII would be able to re-create the direct deposit file without asterisks.

Up to seven now.  Hopefully, it will get traction.  If only they could feel the pain!

Spoke to Linda Cade and Elliott on this. At first they thought it was fixed but then said it’s not but is scheduled for next payroll update - June?

Someone here shared this tool for modifying ACH files - and recalculating the check digit if needed.   I like it for making it clear what position number a character is in. I apologize for forgetting who recommended it!

Have a client in test mode now.  She has 3 roles.  One of those roles has the Module option enabled.  She produced a file with the asterisks.  Is there another setting involved?  Or do all the roles need to have the setting enabled.  That would be a departure from standard role security where the most permissive settings rule.

Update:  never mind.  My distracted brain didn't realize the problem was with a Positive pay export, not PR.
