Are incorrect user counts still a think - even at Sage 100 2021?

Edited 5/20/2023 to add the following, which worked for me after all the other ideas didn't update my *INFO user count:

I tried all the suggestions, and I believe the problem is the "Update" button on the System Configuration did not fully work. I initially used "Update" to populate the new keys and it did not display any errors. However this does not seem to update the user count.

My *INFO showed one less user than my System Configuration - Modules tab.

    What ultimately worked:
    1. Go back into Library Master - Setup - System Configuration
    2. Go to tab 3 registration
    3. Click EDIT
    4. Copy and past in the keys ( in my case what I copied/pasted already existed so I went right over the top of them)
    5. Then save and clicked ACTIVATE

Once I did this my *INFO showed the correct user count (which appears to be number of actual license per the portal for this customer plus 2 users - one for CRM and one for the APP Server). Please note that those "extra" two user counts may not be available for regular use so I always go by the count showing in the portal as the current number of licenses the customer should be able to utilize.

I have a customer who called a week ago wanting to add a single additional user. I looked in the portal, and they appeared to be licensed for 9 users. The Sage *INFO showed a total of 11 users. Not sure why the portal doesn't agree, but I figure it's the old extra Sage CRM and a license for the Sage Application Server. (insert shrug emoji)

I don't think that's the case ( but I would love to be proven wrong )

The customer sends back their paperwork and my middleman gets Sage to implement the change same-day.!!!

When I log into the portal, I see the customer has 10 users displayed. (an increase of 1 user)

I then go to the Sage 100 2021 app and update the registration keys by clicking "update," which works (!)

Yet when I go to *INFO, it still shows 11 users licensed. (insert head scratch emoji)

Is this incorrect user count between the Sage portal and Sage 100 still a thing?  If so, how do I correct this thing to reduce the possibility of future surprises.

If not, was there a time when this stopped and/or started working so the users licensed in the portal equal what's in Sage 100?

I feel that the only explanation I've heard in the past is akin to a lot of "foot shuffling / looking at my shoes" when this question is asked.

Is there a best practice to tieing out the Sage 100 user count to the portal user count so that I'm not the consultant in the middle trying to explain to the customer why they may need to buy yet another user license (and hope that the user count actually goes up).

This whole process seems like it's broken somehow. Or I've just hit on a lousy key/user count scenario,

I have found that the *info "should" show 2 additional licenses when running Sage 100 Advanced and Premium (1 user for Sage CRM and 1 user for the Sage 100 application/service). So I think your *info should be showing 12 users. Take a look  under Library master > Setup > System Configuration > Tab #2 you may see that it shows differently.

I find that just clicking UPDATE or ACTIVATE does not always work as expected, so I have resorted to the following for Advanced or Premium versions:

    1.       Have to have all users out of Sage100

    2.       Update the keys (or click on Activate if you have already updated them)

    3.       Stop the Sage 100 application/service

    4.       Open the Application Configuration and Start the service there

    5.       If the Sage is normally run as a service, stop the application, exit the Application Server Configuration, then start the windows service

    6.       Log back in and check the user count using *info and also check the user count that shows under Library master > Setup > System Configuration > Tab #2  and make sure they match

If that doesn't change the count then I hit it with a bigger hammer:

    1.       Have to have all users out of Sage100

    2.       Stop the Sage 100 application/service

o   Browse to ...\Mas90\Mas_System using Windows Explorer

    §  Rename SY_Workstation.m4t and SY_Console.m4t

o   Browse to ..MAS90\Home\Lib\_Appserv\ using Windows Explorer

§  Rename the following two files:

    ·         Sessions.pvk

    ·         Locate.pvk

    3.       Log into Sage 100 using MAS90 Mode

    4.       Update the keys (or click on Activate if you have already updated them)

    5.       Log out of Sage 100

    6.       Open the Application Configuration and Start the service there

    7.       If the Sage is normally run as a service, stop the application, exit the Application Server Configuration, then start the windows service

    8.       Log back in and check the user count using *info and also check the user count that shows under Library master > Setup > System Configuration > Tab #2 Modules

In addition to what Dave Overhold is suggesting, I have also had to use the Sage Solution ID:  36278 to resolve. That document has you rename the $ACTPVX.bat file to old; and update registration to create a new .bat file.  Followed by renaming the "activate.pvx" to old, then double click the newly created $ACTPVX.bat script in \\..\MAS90\Home and it will create a "fresh" activate.pvx, with proper counts.

Thanks to you both - great replies! I nominate this as the post of the week!

And as an aside, it makes me sad that this type of technical "gymnastics" is needed to do something as basic as updating the number of user licenses.

This is also great FAQ material

Oh, almost forgot.  Let me add that if you are using a Terminal Server, you have to replace the "old" activate.pvx file with the new one anytime you change user counts.  Otherwise the TS can only access as many users as they have had previously.

Another solution may be copying the activate.pvx from the server ..\mas90\home\lib\keys to the local keys folder.

Very broken, and it has been for a while.

Maybe this is something for the Mod Squad / Ideation90?
I put up something related to licenses already, but adding licenses is different than that idea.

Is there a technical reason Sage 100 couldn't check the license count on the SERVER rather than requiring a local copy for Advanced/Premium?

Didn't you know?  Sage considers a problem "solved" when there is a KB article with steps to resolve.  It doesn't matter that it adds extra steps to every install / upgrade, forever...
    *eyeroll*
Dealing with activate.pvx (copy to local, or make that not necessary) is another potential Ideation90 entry.

Ok, I think I got this one documented.

I believe the issue is that the "Update" button doesn't work to automatically download ( this worked ) and activate ( this didn't seem to work ) new user keys.

I could see a new activate.pvx was created using the "Update' button, but I could not see the proper user count displayed until I went back into System Configuration - Registration and manually edited and activated the keys.

I tried all the workarounds and the only one which I had success with was clicking "Edit" within the System Confguration screen and copy/paste the keys over what was already there. Then I clicked activate and this worked.

I believe this update anomaly has been encountered before.
