Anyone have a step-by-step process for negative tiers / balancing inventory at month and year end?

  • 1.  Anyone have a step-by-step process for negative tiers / balancing inventory at month and year end?

The negative tiers issue keeps appearing with my customers when they try to reconcile inventory. Unfortunately Sage has some really nasty ( source ) KB article which isn't customer-friendly and just telling a customer "don't over ship something you don't have" isn't really a solution ( if it is the solution then the software should natively enforce the rule - similar to how in balance AJE is enforced for most users).

On a basic level, the issue has appeared for a customer who wants to zero out a warehouse by making a physical count where all items in the warehouse are counted down to zero.
The physical count adjustment doesn't match the inventory valuation report for that warehouse.

Prior to doing this, I ran the negative tier report.

I just went back and re-ran it. So far as I can tell running and updating the negative tier report doesn't necessarily fix everything as once I run the report and update and go back to rerun the negative tier there are still items on it.

I guess I'm not exactly sure what purpose the negative tier report fulfills unless it's part of a series of manual and automatic steps required to reconcile inventory. And if so this seems like something Sage should have a better routine/procedure for reconciling.

Is it the quantity is zero but there are some dollars left in the tier?

The negative tier adjustment will only fix the negative tiers that have a valid positive tier to cancel the negative one with,
If after running the negative tier adjustment, you run the negative tier report and there are still stuff there.
Then you need to do a receipt for the quantity and cost of the negative tier.
After posting that...the negative tier adjusment will clear the tiers...

If the issue is what Jeff is stating... you need to do a receipt for quantity one, with the cost negative to the cost you have on the valuation.
then you proceed with an adjustment of -1 with cost zero.....

Thanks for the info. My issue is that this seems strange to have to perform when a customer is relying on Sage to keep their inventory balances accurate. It's always an awkward conversation about why these steps need to be manually taken.

There are SOOOOO many awkward conversations that occur with Sage these days.  The list seems endless.  If you keep your head buried in the sand long enough, are these conversations now "normal"?  If they would just pick ONE (or two if you are greedy) item per quarter, think of the progress that could be made.

There are so many ways inventory can go negative, but for shipping there is a Role permission...

Another thing to recommend is purging zero quantity cost tiers when done.  Bad unit costs in OVERDIST tiers can last for years and years unless you purge them.

@Kevin Moyes, do these tiers purge if there is a value in the extended amount field?  It has been my experience that they must be zero in the quantity and the extended value for the record to purge.  @Jeff Fiddelman worked up a utility to clear the $ amounts a while back.  Maybe he could sell it to Sage and retire from the royalties???

I believe the purge requires zero quantity and value (which I consider a good thing, so it should not affect IM Valuation).

The recommendation to purge them comes from how the OVERDIST tier costing is used in a few places, and if the Unit Cost is bad in that tier, it affects real transaction values.

Fix everything, then purge, to prevent future issues with bad unit costs.

Perhaps this could be incorporated by Sage into their period end or possibly physical count. Aside from hidden utilities none of the menu steps seem to have changed since Milli Vanilli won and returned a grammy.

When pigs fly I suppose.   Isn't this supposed to be a focus of the Mod Squad???  Suggesting quick wins that would add value to users?  This could be a quick win. Also, negative tier report could be modified to include cost tiers with zero quantity but $$$ remaining.  If QTY is zero with $$$, adjust these tiers as well.  Just a thought......

I'm running into this on another customer - Sage 100 2018 Premium.

The only reason I don't run into it more is that - IMO - customers don't pay closer attention to their inventory balances.

Regardless, there is almost certainly a bug when the negative tier report shows a qty of 0 and an extended value that is not zero.

Note: I ran all the Inventory utilities several times against this data in a test company - Negative Tier report/Entry, remove zero qty tiers, inventory balance ( in *UTL)

    Here's an example

It's also entirely possible that I'm completely misunderstanding what this report is showing and I'm happy to be schooled.

I kinda get the lines where there is a value ( positive or negative ) in the quantity fields.
I am specifically puzzled by the zero quantity lines and more specifically how a customer facing a 15 page report can easily fix them.

There was a bug in inventory adjustments (overridden unit cost when consuming the last QoH left value in the tier), which Sage fixed a while ago.
They also fixed the inventory reports to show the bad cost tiers (zero quantity with value) in around v2020 (+/-1?), where those values were previously hidden.

Several issues in your example @Wayne Schulz - 1)  Negative quantities with negative values - Many reasons for this.  Wrong item code was used, timing issue (shipped/Used before item was made/received)  @Kevin Moyes suggestion of Role is promising but "inconvenient" to most companies. 2) Zero tier QUANTITIES with non zero tier values - Constant pain, no easy fixes.  IMHO, an easy fix for this would be to modify the negative tier report by expanding what it does.  Any tier that is zero quantity with a non zero value should be adjusted to zero value.  Amount should be JE'd to inventory adjustments.  Hey MOD SQUAD, can you put this on the list????  Sage, how hard could this be??

Admittedly part of the problem is the customer is back on 2018 so I don't know if some of their reconciliation issues could go away at 2022.x. The challenge is you tell the customer than an $8,000 upgrade is going to fix the issue and then it doesn't. Now the customer is understandably upset.

If Sage could make remove zero quantity tiers also remove zero quantity tiers that (erroneously) have a dollar value.

I think it would be easier for Sage to build a fix into the Inventory Negative Tier Report / Adjustment, which already has a posting process (to handle the GL entries).

@Wayne Schulz the good news is this customer is on Premium, so the amounts by GL can be gathered easily and then the problem records fixed.  I have attached a file with Create View scripts for Item Cost and ItemWarehouse, as well as the update statements to be run after the view data is collected to make a GL entry.

We do a spreadsheet query, save as CSV, import +1 into the cost tier (adjustment), post, then import a -1 adjustment at whatever the total tier cost is at that time (one IA line per tier to make sure the cost is exact).  Simple and repeatable by users without raw data edits or complicated calculations.

When it is just one or two, do the IA +1 / post / -1... manually. No need to set up the spreadsheet / import jobs.
