  • 1.  Alerts & Workflow - setup email with Office 365?

    Has anyone setup Alerts & Workflow to use Office 365 email? I enter the info but continue to get a message [ Error Connection Failure ].

    Admittedly this could be one of probably dozens of issues either related to the customers IT environment or Sage Alerts.

    I figured before I started down the support path that I would inquire if there is something simple I'm overlooking.

    Usually if you are getting the error, it is because either a setting is wrong or the 365 account does not have the ability to allow email to be sent outside of Microsoft (relay email). Best to get with whoever is maintaining their office 365 to help with that part because that can get complicated.

    To expand on Rhonda's comment about O365 potentially not relaying email.... I have encountered this before, and used a workaround.  Have IT set up  MS Exchange on an in-house server and have Sage 100 send to the in-house Exchange.  Then, Exchange relays the email to O365.

    We couldn't get it to work with Office 365 email. Sage 100 2018 Advanced email also stopped working with Office 365. We finally switched to a more generic SMTP server for both SA&W and Sage 100 to get both to be able to send emails.

    Does this help?  If your looks basically like this, I'd lean toward the relay thing, and it frequently is something the IT guy will say is not the issue about 5 times before he finds it.

    @Rhonda McNamara  LOL. IT always denies it.  Even on premise Exchange needs to be configured to accept open email relays from a particular IP or computer name.  I do not believe O365 will accept open relays of email.  So the workaround is to set up an Exchange server with one email address login (from Sage100) that will then relay the email  ​​to O365.  O365 see the email coming from the Exchange server as an acceptable address and will forward it to the recipients email server.  Maybe all this has changed in more recent versions but in the recent past this was the case.

    I only know we've never set up that exchange on the server…I mean, that's a big benefit of O365.  We have both running internally, and have put it in place at a few clients this way.

    It is possible to use O365 without setting up an internal SMTP relay. See the link below. This approach requires a static IP public address to restrict relaying. Used this may times and handles any volume Sage 100 can send.

    I'm still chasing this one down. As predicted the IT department swore up and down that there is nothing on their end restricting the process. I copied Rhonda's setup but no luck.  I tried to set up Gmail as SMTP but it demanded that I lessen security restrictions on email in order to use Gmail as the source. Then Gmail promptly locked me out for too many login attempts. 

    I submitted an online ticket with Vineyardsoft and called Sage support which prompted me to select which endorsed solution I was working with and that promptly send me into a recorded voicemail for Vineyardsoft to which I left another message.

    This is, in my opinion, a perfect example of why we need to add a charge to anything we do - even if it's just "place an order". Anytime you're asked to just place an order --- make sure you ask if they want fries with that ......( will you want us to install it? will you want us to train? will you want us to setup reports? will yoiu want us to be front line support or are you ok calling the publisher directly? )...... otherwise you have a 90% chance of doing the same work for free because the owner expects a working setup and nowhere in the marketing material/webinar was it mentioned that there is work involved in the setup and configuration.

    We have hit the same wall with one of our clients and used Gmail instead in their case.  I wish I knew the exact setting IT had to change.  In fact, that would be a good thing to put in Sage's KB.

    I tried to add a Gmail account but I keep getting a "too many logins" almost immediately upon adding that account. The documentation from Vineyardsoft on how to set up an email account is rather dated.

    I have KnowledgeSync working with Office 365 as a stand-alone product at a non-Sage client. I use the following settings:

    Email Type: INTERNET
    Character Set: <blank>
    Email Account Description: Office 365 Online/AUTH/LOGIN/SSL/TLS
    Login Name: account@domain.com
    Password: <password> (Make sure this is configured not to expire)
    Postoffice: <blank>

    SMTP/POP Internet Email Information:

    Outgoing mail server: smtp.office365.com
    SMTP From Name: Real Name <account@domain.com>
    SMTP Port: 587
    Incoming mail server: smtp.office365.com
    POP Port: 995

    I forgot to mention, there is a user setting accessible in the Office 365 admin dashboard under Mail Settings for "Email apps." That needs to be set to "All email apps allowed."

    Vineyardsoft was hit with a Ransomware attack starting 11/22 and are still recovering so that could be the reason for the delays.

    Yes, they are still in business, at least a week ago: Don was pretty instant in refreshing a license key for me on the 5th.

    This should work fine. No open relays or IP filter needed since it is authenticated. 

    Are you attempting a different SMTP From Name than the Login Name? If so, the login name must have Send on Behalf permissions. 

    Are you appending /AUTH/LOGIN/SSL/TLS to the Email Account Description? I believe this tells the email engine the authentication/encryption methods to use.

    This is helpful. The customer is calling me daily asking when this is going to be resolved and all I'm getting from Vineyardsoft is "leave a voicemail". I've only left two messages and one online ticket ( as per Vineyardsoft website instructions on obtaining support ) but the KB articles and documentation IMO look like they are about 5 years old ( one setup option references hotmail ). It all looks terribly dated. I prefer to use KB when possible but they need to be updated and relevant or the company is going to need to pick up the phone and provide support.

    So I'm getting a little farther about why support isn't returning calls. I'm still not receiving a call back ( should be fun when Sage rolls out their bundle which includes SAW ) but apparently as someone noted Vineyardsoft suffered some type of malware issue and their systems were/are down.

    It would be nice if this was proactively communicated seeing as Sage is on a mission to become a great SaaS company and a big part of becoming a great SaaS company is knowing that you have to work to earn your customer's renewals each month/year. 

    I worked to try to point this customer to Visual Cut but they insisted on SAW ( reason unknown ) and now I'm the mostly unpaid complaint/customer service department getting dragged further into this.

    Vineyardsoft emailed me this AM with a request for the Office 365 setup. They said the config looked good ( it was essentially what the group here suggested for the config). 

    They asked I create a log file and send to them. Here are the instructions for creating the file which I'm including for the benefit of anyone searching and finding this message thread in the future.

    OK, the settings look good. We're going to have you run diagnostics and we'll be able to see the conversation between the mail API and the Outlook smtp server.

    Please run through the following steps and forward the resulting text files to us-

    Stop the Sage Alerts and Workflow  Windows Service.

    Run
    Regedit
    (32 Bit Server)
    HKEY_LOCAL_MACHINE\SOFTWARE\Vineyardsoft Corporation\KnowledgeSync 2000\General

    (64 Bit Server)
    HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\Vineyardsoft Corporation\KnowledgeSync 2000\General
    Change "Diagnostics" to:
    "4" - (4 is Email Server in Diagnostic Mode.)

    Go to:
    *:\Sage Software\Alerts and Workflow\Data
    See if any KS_Diagnostics* files exist
    If they exist, delete them

    Start the Sage Alerts and Workflow  Windows Service.

    Submit your Email and an Event

    If the Email errors:
    Go to:
    *\Sage Software\Alerts and Workflow\Data
    Rename KS_Diagnostics.txt to KS_Diagnostics_SERV.txt
    Rename KS_Diagnostics_Authentication.txt to KS_Diagnostics_Authentication_SERV.txt . .

    Send those files to support@vineyardsoft.com.

    IMPORTANT:
    Stop the Sage Alerts and Workflow  Windows Service.

    Reset the Diagnostics

    REGEDIT
    (32 Bit Server)
    HKEY_LOCAL_MACHINE\SOFTWARE\Vineyardsoft Corporation\KnowledgeSync 2000\General

    (64 Bit Server)

    With the maze of configuration and management programs that come with KS, the log settings are managed with a manual registry hack?  That is... hard to believe.

    Update:

    This may have been resolved. I am not sure exactly what the fix was but this is what I'm using now for Office 365 emails:


    The last message I received from the IT person is that they changed the type from INTERNET to EXCHANGE. Saved. Then changed it back to Internet and saved and suddenly email began flowing.
