2017 standard. End user has payroll direct deposit. We recently set up the owners of the company to receive direct deposit stubs electronically. They would like to set up other employees to get the direct deposit stubs via email. Direct deposit stubs get emailed when the payroll journal is updated. The owner that processes the payroll frequently travels or takes days off, so she prepares the payroll in advance. If the owner has to process the payroll a week in advance because she is traveling, she doesn't want the stubs to be emailed until the day of the payroll. Is there a way to configure Sage 100 to email the direct deposit stubs on the pay date if the payroll is prepared a week in advance?

I think you would have to not electronically deliver at time of update, but rather go into viewer and send from there after the fact (on the paydate). There is another string in here or Urgent Support that wanted something simiilar. Really was no options available if I remember correctly.

Thanks @NancyHanson Too bad there are no options. Another reason to use and outside payroll service. If they have to go into the viewer after the update, they may as well remote in on the day of the payroll and update the payroll journal.

@BethBowers and other PR testers. Is this changing in in the new improved PR?

It's not changing in Payroll 2.0 to my knowledge. They can educate their employees and also include a message on the direct deposit stubs that the money will not be in their bank account until the Effective Date which is printed on their direct deposit stub. Since we created this functionality and were the first to use it for our own payroll at Macabe, we understood that we would receive our email with our direct deposit stub attached a few days before the money would be in our bank account. I have implemented this many times over the years and educated my clients to educate their employees with no problems. Employees are very aware of their pay dates.

@ShariEckersley What would you do in the case the owner prepares the payroll two weeks in advance because she is leaving on vacation?

@Doug Higgs if she's preparing the payroll 2 weeks in advance, is that indicative that all employees are salary? Then as Shari said, owner can tell employees, here are the stubs, but monies not available till payday. I agree with Shari, it's a training issue. If I'm on salary, I don't care when I get my stub. Even hourly, doesn't matter when I get my stub, just tell me when the money will be available.

@NancyHanson That seems like a reasonable solution to me. I will run it by the end user.

I sent the following email to the client: ""One alternative is to educate the employees that the payroll date on the stubs is the day the money will be in their bank account. We could include a message on the direct deposit stubs that the money will not be in their bank account until the Effective Date which is printed on their direct deposit stub. Employees will understand that they receive an email with their direct deposit stub attached a few days before the money will be in the bank account."" Below is the response from the customer. BTW, This was an ROR change to me a few years ago. I didn't sell Sage 100 to them. ""We cannot and will not send them early. Won't work for us. William is very against it as am I. Doesn't make sense that we cannot send when they are payable. What kind of system is this, spend all this darn money and we have to put notes on the paycheck to explain because we can't co trip when the email is sent. It's crazy. "".

@DougHiggs - Sounds like it is 5 PM somewhere..... First drink on me!! Reminds me of an account I am currently trying to bring out of the stone ages. Currently it takes them THREE days to process a 14 person PR TOTALLY manually (calculator, no Excel). They wanted to do it one last time manually. REALLY!!

What @NancyHanson said. Take off the automatic delivery and go to Paperless Office and electronically deliver from there when ready. Next step - set up remote access to the server and travel with a computer.

I sent her another email earlier and suggested turning off the Deliver During Check Register Update. She seemed to like that idea and said she is going to test it out. Thanks everyone.
