    2014 Advanced - Customer would like to delete approximately 3000 inventory items. Items have a valuation type of standard cost. All items have history. What is the best way to delete 3000 standard cost items?

    I have never liked deleting items. Instead, I create a dummy item, let's call it ZZZOLD. I give it the same valuation, item type and units of measures for Standard, Sales and Purchases. I do a physical count on the items I want to delete and make them all zero. I then use the Change Utility to merge them all into the ZZZOLD item. I wouldn't try to do 3000 items at one time. I would do them in batches of 500 to 1000. I would first do 10 and time it. If they know which items have a lot of history, test those to give you a worst case scenario. Depending on how much history the items has, it could take several minutes to merge. Oh, use VI so you don't have to manually key them. Hope this helps.

    I would use VI to Import into the IM_DeleteChangeItems table then process from there.

    Thanks for your prompt response. I have imported the items into the IM_DeleteChangeItems table and tried to chage to ZDELETE item. Message appears on the Delete/Change register that item cannot be changed because the standard cost is different.

    When you merge items of standard cost the cost have to be the same. so that may not work (I think it talks about that in the help file.. but maybe I saw it on the KB). You could change all the items valuations then merge them. Otherwise, maybe just create a backup company and tell them if they need to reference one of the old parts to check the backup company.

    It is never easy. If the quantities are all zero, you could import a standard cost of 0.00 into all of those item with VI. That would take care of that issue.

    That's the issue.. don't want to change the item valuation. I guess since they won;t be using the items anymore the stabndrd cost could be set to 0.. then we would have a match.

    Why not just mark the items as inactive. And maybe, move to a different product line, like ZZZ (called Obsolete History)?

    @DougHiggs I hear you. And agree with @BrianKelly about doing a small test first. My experience, depending on the size of the client and their transactions, is that it could take hours. The last client I did something like this was a bear. We merged 100 items at a time, and it took over 5-hours for each grouping. Needless to say, it took coordination with their billing department to update all invoices before they left each evening, so the utility could be run. If I recall, I billed them 90-minutes per evening at 1 1/2 time our normal billing rate, for 18 evenings. When it was all done, between paying their billing clerk overtime to stay at night and update the batch, and paying our services, I think they would have been ""OK"" with the ""noise"" of the unused items. They never asked me to do it again. Oh, don't forget to check on their nightly backup. Doing this after the backup would be better. Just incase, and it should be faster too.
